1. Data we collect

Account data: name, email address, password (stored hashed), company name, and account settings.

Billing data: payments are handled by our third-party payment processor. We receive limited billing information such as plan, payment status, and the last digits of the card; we do not store full card numbers.

Chatbot conversation data: messages exchanged between end users and chatbots created on the platform, plus related metadata (timestamps, page URL, approximate region). Our customers control what their chatbots ask end users.

Website analytics and cookies: usage data about visits to our own website, as described in our Cookie Policy.

Support messages: emails and form submissions you send to our support and legal addresses.

2. How we use data

We use data to provide and operate the Service; process payments through our payment processor; respond to support requests; secure and debug the platform; analyze aggregate usage to improve the product; and send service notifications. We send marketing emails only with consent and always with an unsubscribe option. We do not sell personal data.

3. Legal bases (where applicable)

Where data protection law such as the GDPR applies, we process data on the bases of contract performance (providing the Service), legitimate interests (security, product improvement), legal obligation (tax and accounting records), and consent (non-essential cookies, marketing).

4. Third-party processors

We share data with service providers who help us operate the platform, such as hosting providers, AI model providers used to generate chatbot responses, the payment processor, and email delivery services. Processors act under contracts that restrict their use of the data. Current planned processors include NameHero for hosting, Namecheap Private Email for email, Stripe for payments once approved, and AI infrastructure providers used to generate chatbot responses. This list will be finalized before accepting payments.

5. Data retention

We retain account data while your account is active. After account closure, we delete or anonymize personal data within 90 days after account closure, unless a longer period is required for legal, tax, security, or dispute-resolution purposes, except where longer retention is required for legal, tax, or security purposes. Customers can delete individual chatbot conversations from their dashboard.

6. Data security

We protect data with HTTPS encryption in transit, access controls, and reputable hosting infrastructure. No system is perfectly secure; we will notify affected users of security incidents as required by law.

7. International transfers

Data may be processed in the United States, Europe, or other locations where our service providers operate. Appropriate contractual safeguards will be finalized before accepting payments.

8. Your rights

Depending on your location, you may have the right to access, correct, delete, or export your personal data, and to object to or restrict certain processing. To exercise these rights, email legal@convoroute.com. We respond within the timelines required by applicable law. You may also lodge a complaint with your local data protection authority.

9. End users of customer chatbots

If you interacted with a chatbot on another business’s website, that business is the controller of your conversation data; contact them first. We process such data on their behalf and will assist with requests as required.

10. Children’s privacy

The Service is not directed at children under 16 and we do not knowingly collect their personal data. If you believe a child has provided us personal data, contact legal@convoroute.com and we will delete it.

11. Changes

We may update this policy; material changes will be notified by email or website notice before taking effect.
